The pain point

The partners were spending their best hours answering routine client emails, chasing missing documents and juggling appointment requests, which left client work piling up after hours, worst of all in personal-tax season.

Why they chose me

  • Comfortable working in Canadian business hours from Cebu
  • Detail-focused with confidential client records
  • Willing to learn their exact systems instead of imposing new ones
S

Situation

A busy Canadian practice with a shared inbox, a phone line and a client list that kept growing. Requests arrived through several channels and nobody owned the front desk.

T

Task

Act as the firm's virtual front office: own the inbox and calendar, keep client files complete, and give every client a prompt, friendly answer.

A

Action

  • Built inbox labels, filters and reply templates for the most common client questions
  • Managed the partners' calendars and sent appointment confirmations and reminders
  • Built a Google Sheets workflow with reporting and dashboards that tracked every personal-tax client through busy season
  • Created an intake checklist and tracked outstanding client documents in a shared spreadsheet
  • Organised the digital filing structure so records were easy to locate
  • Logged every client conversation so the partners had full context before calls
R

Result

  • Every client's personal taxes completed 2 months early in busy season
  • Routine replies handled same day, without pulling in a partner
  • Fewer no-shows thanks to consistent confirmations and reminders
  • One source of truth for which client files were complete

About

An islander who treats your business like it's the only one on the map.

I spent years in BPO call centers before going virtual during the pandemic, so I could work from home while taking care of my family. Smart Islander grew from there. Today I'm the virtual office administrator for a Canadian accounting practice and the customer service rep for a Florida insurance agency, so I know how a small service firm actually runs day to day.

My approach is simple: learn your systems first, write down how you like things done, then run them the same way every time. You get a single, dedicated person who knows your clients by name, not a rotating pool of strangers.

FAQ

Questions owners ask before hiring a virtual assistant

Straight answers about hours, cost, data and fit. Anything else, ask me on the call.

What hours do you work?

I work 8 PM to 5 AM Philippine time. That's 8 AM to 5 PM Eastern in summer and 7 AM to 4 PM Eastern in winter, which also covers West Coast mornings. You get a real person during your business day, not overnight handoffs.

Do you only work with accounting and insurance firms?

No. Most of my experience is with accounting, bookkeeping and insurance offices, but I support small businesses of all kinds in the US and Canada with customer support, admin and online presence. If a task needs industry know-how I don't have, I'll tell you on the call.

How much does a virtual assistant cost?

It depends on the service and hours, so every plan is priced to fit your goals. You can pay hourly, choose a 4-week package that costs less than hourly, or start with a 2-week package for support or admin. After a free 20-minute call you get a written proposal with exact costs, and nothing starts until you sign.

How does payment and the deposit work?

Work starts once the agreement is signed and a 50% deposit of the first month's estimated fees is paid. The deposit is credited to your first invoice, so it isn't an extra cost.

How do you keep client data safe?

I use password managers, two-factor authentication and the least access each task needs. Confidentiality is written into our service agreement, and I keep client details out of anything I share.

Do you work inside our own systems?

Yes. I learn your tools rather than moving you to mine, including Karbon, Xero, Dext, QQCatalyst, HubSpot, Google Workspace and Microsoft 365. Every recurring task gets a written checklist you can see and edit.

Is there anything you don't do?

I don't take sales roles, and I don't do work that needs a licence, such as giving insurance coverage advice or signing off tax returns. Those go back to your licensed team, and I handle the admin and customer service around them.

Can I start small?

Yes. Many firms start with a few hours a week or a 2-week package, then add hours once the routines are written down and working.
